Auto Caption Privacy Policy
Effective date: October 26, 2026 Last updated: October 26, 2026
This Privacy Policy describes how Take Agency, LLC, a Delaware limited liability company ("Take Agency," "we," "us," or "our"), collects, uses, discloses and otherwise processes personal information in connection with the Auto Caption mobile application (the "App") and the website located at autocaptionapp.com (the "Website," and together with the App, the "Services"). By using the Services, you acknowledge that you have read this Privacy Policy.
Summary
- The App assigns a random identifier to each installation. We do not collect precise location data or contacts.
- Certain features transmit the audio track of a video, or the text of captions, to a service provider for processing, as described in the table below. Video files are not uploaded, except where a user attaches one to a support email.
- "High Accuracy" transcription is the default mode for new users and transmits the audio track to a third-party speech recognition provider. "Classic" transcription is performed on the device. Users may change modes at any time.
- We use analytics and crash reporting services to understand how the Services are used and to diagnose errors.
- We share purchase events with advertising partners for advertising measurement. We do not sell personal information for monetary consideration (Section 4).
Information transmitted from the device
| Activity | Information transmitted | Recipient |
|---|---|---|
| Transcription in High Accuracy mode | Audio track of the video; selected language, if any | Our speech recognition provider, via our server |
| Transcription in Classic mode | None for transcription; speech recognition is performed on the device | None |
| AI text features, such as suggested project titles and caption conversion | Caption text. Suggested titles are generated in both transcription modes | Our AI provider, via our server |
| Audio enhancement features | Audio track of the video | Our audio processing provider |
| Feedback and issue reports | Report contents, caption text, related settings, and audio where the user chooses to include it | Take Agency, stored with our hosting provider. Feedback-form answers and contact details are also recorded by our analytics, subscription and crash reporting providers |
| Font browsing | Requested font names and IP address | |
| Trials and purchases | Purchase event and device information | Our subscription provider, and through it our analytics providers and advertising partners (Sections 3 and 4) |
| General use | Usage events, device information, app user ID, purchase status, crash reports | The service providers listed in Section 3 |
1. Information We Collect
1.1 Information you provide
Email address. During onboarding, the App may request an email address for the purpose of sending information about new styles and features. Providing an email address is optional. If provided, it is stored with our email, subscription and analytics providers and associated with the app user ID. Users may unsubscribe at any time.
Feedback, surveys and issue reports. We collect responses to in-app questions, surveys and waitlists, including any contact details entered into a feedback form. When a user reports a problem with a transcription, the report may include the transcript, related settings and, where the user chooses to include it, the audio clip. Video is not transmitted. Reports are used to evaluate and improve transcription.
Support communications. When a user contacts us by email, including through the App's "Contact support" or save-error screens, we receive the sender's email address and the contents of the message. The App pre-fills certain technical information, including a case ID, device model, iOS version, error details and the app user ID. Following a failed export, the App may attach the relevant video to the draft email; the user may review and remove any attachment before sending.
Third-party forms. Some sign-up forms are hosted by Google Forms. Information submitted through them is processed by Google under its privacy policy and is made available to us.
1.2 Content processed through the App
Videos, captions and projects are stored on the device. The features listed in the table above transmit portions of this content to us or to a service provider to deliver the requested result. We do not retain such content, except in short-lived logs used to operate and secure the Services, and in reports that users choose to submit (Section 1.1).
- High Accuracy transcription transmits only the audio track, not the video.
- Classic transcription is performed on the device.
- Suggested project titles are generated in both transcription modes; the caption text of each new project is transmitted to our AI provider for this purpose.
- Audio enhancement uploads are transmitted directly from the device to our audio processing provider, which therefore also receives the device's IP address.
1.3 Information collected automatically
Identifiers.
- Random identifiers created by the App and our service providers for each installation, principally the app user ID. The app user ID is not associated with a user's name, and is associated with an email address only if the user provides one, including in a support email. It can be copied from Settings → Copy my ID (or the equivalent option in earlier versions of the App).
- The device's push notification token, where notifications are enabled.
- Apple's identifier for vendor (IDFV).
- Apple's advertising identifier (IDFA), only where the user permits tracking through Apple's App Tracking Transparency ("ATT") prompt. The IDFA is used for install attribution and advertising measurement (Section 4). This permission can be changed at any time in iOS Settings → Privacy & Security → Tracking.
Device information. Device model, iOS version, App version, and language and region settings (derived from iOS settings, not GPS). Our service providers also receive the device's IP address, and some derive an approximate location, such as country or city, from it.
Usage information. Screens and features used, settings selected, errors, and paywall and purchase interactions. Usage information may include excerpts of caption text.
Purchase information. Subscription and purchase status and history, received from Apple through our subscription provider. We do not receive payment card details or Apple ID credentials.
Diagnostic information. Crash reports, non-fatal errors and a record of recent App events, which may include caption text being edited at the time.
Attribution information. Apple Search Ads attribution data (such as campaign, ad group and keyword) for the installation, which we associate with the app user ID, and aggregated SKAdNetwork reports that do not identify individual users. Information provided to advertising partners is described in Section 4.
2. How We Use Information and Legal Bases
Where the General Data Protection Regulation or the UK GDPR applies, we rely on the following legal bases:
| Purpose | Information | Legal basis |
|---|---|---|
| Providing requested features, including transcription, audio enhancement and AI text features | Audio, caption text, requests | Performance of a contract |
| Processing and restoring purchases and managing subscriptions | App user ID, purchase history | Performance of a contract |
| Maintaining the Services and diagnosing errors | Diagnostic, usage and device information | Legitimate interests in operating reliable Services |
| Analyzing and improving the Services, including experiments and feature flags | Usage and device information, identifiers | Legitimate interests in improving the Services |
| Improving transcription from user reports | Issue reports, transcripts, audio where included | Legitimate interests in improving transcription. Submission of a report, and inclusion of audio, are at the user's discretion |
| Sending push notifications | Push token, usage tags | Consent, given through the iOS notification prompt |
| Sending product emails | Email address | Consent, given when the email address is provided |
| Advertising measurement using the IDFA | IDFA, install and purchase events | Consent, given through the ATT prompt |
| Advertising measurement without the IDFA (Apple Search Ads, SKAdNetwork, purchase events shared with advertising partners) | Campaign identifiers, aggregated reports, purchase events, device information | Legitimate interests in measuring marketing effectiveness |
| Responding to support requests | Email address, message contents | Performance of a contract; legitimate interests |
| Complying with legal obligations and preventing abuse, including rate limiting by IP address | IP address, request metadata | Legal obligation; legitimate interests |
Where processing is based on legitimate interests, users may object as described in Section 7. Where processing is based on consent, consent may be withdrawn at any time without affecting the lawfulness of prior processing.
Providing personal information is not a statutory requirement. Email addresses, feedback and survey responses are optional. Identifiers and purchase information are necessary to provide the App and process purchases. High Accuracy transcription requires transmitting audio; users who prefer not to may use Classic mode.
We do not use personal information for automated decision-making that produces legal or similarly significant effects.
We may aggregate or de-identify information so that it no longer identifies an individual, and use such information for any lawful purpose.

- where required by law, or to protect the rights, property or safety of Take Agency, our users or the public
- to a buyer or successor in connection with a merger, acquisition or sale of assets, in which case this Privacy Policy will continue to apply to information collected under it
Third-party services. The Services may link to or integrate with third-party websites and services, such as the App Store, Google Forms and social media platforms. We are not responsible for the privacy practices of those third parties, and this Privacy Policy does not apply to them.
4. Advertising and Sale of Information
The App does not display third-party advertising. The App may display promotions for other Take Agency apps.
We do not sell personal information for monetary consideration. We advertise the App on third-party platforms and measure the effectiveness of those advertisements as follows:
- When a user starts a trial or makes a purchase, our subscription provider transmits the event, with device information, to advertising partners for advertising measurement. Certain US state laws may treat this as "sharing" of personal information.
- Where a user permits tracking through the ATT prompt, our subscription provider, Google and advertising partners also receive the IDFA. Where tracking is not permitted, the IDFA is not provided; advertising partners continue to receive trial and purchase events.
5. Data Retention
We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, or as required by law.
- Content stored on the device: until deleted by the user or the App is removed.
- Audio and caption text transmitted for processing: not retained by us, apart from short-lived server logs. Service providers may retain such content for limited periods under their terms, for example to prevent abuse.
- Issue reports: for as long as needed to improve transcription.
- Analytics and diagnostic information: for as long as useful to improve the Services, subject to our service providers' retention limits.
- Email addresses: until the user requests deletion. Unsubscribing stops product emails.
- Push tokens: until notifications are disabled or the token expires.
- Purchase records and support correspondence: for as long as necessary for subscription management, accounting, tax and record-keeping purposes.
- Server logs: for a limited period, to operate and secure the Services.
6. International Data Transfers
Take Agency is located in the United States, as are most of our service providers. Information collected from users outside the United States is transferred to, and processed in, the United States and other countries whose data protection laws may differ from those of the user's jurisdiction.
For transfers from the European Economic Area, the United Kingdom and Switzerland, we rely on the EU–US Data Privacy Framework and its UK and Swiss extensions where the recipient is certified, and otherwise on the European Commission's Standard Contractual Clauses (with the UK Addendum) or other safeguards permitted by law. A copy of these safeguards is available on request.
7. Your Rights and Choices
Requests to exercise any of the rights below may be submitted to contact@takeagency.io. Because the Services do not use accounts, requests should include the app user ID (available under Settings → Copy my ID; the full value should be provided), or the email address or support case ID previously used with us. If we are unable to associate a request with any personal information, we will inform the requester.
We will respond within the period required by applicable law.
